Executive Officers
President
- Calls, creates agenda, and presides over meetings of the Board
- Serves as ambassador for CSP in working with city, state, and federal arts agencies as well as with other local arts organizations to expand CSP resources and partnerships
- Responsible for monitoring performance of other Board members and assisting them with the execution of their duties when necessary
- Appoints annual Nominating Committee, Budget Committee, and their chairs
- Is entitled to serve as ex officio member of all committees
- Does not vote on Board actions, but breaks all tied votes by the board
Executive Vice President of Administration
- Has direct oversight of the VPs of Finance, Records, and Volunteers.
- Responsible for the safety, security, repairs, and general maintenance (including improvements) of the building including annual inspections as required by Code
- Manages the distribution of keys and alarm codes
- Responsible for the internal audit in odd years and external audit in even years of CSP finances
- Reviews and co-authorizes with the President all contracts with third parties including rentals
- Works with reporting VPs to contribute to CSP achieving its long-term goals as they relate to the administration of the organization
Executive Vice President of Community Relations
- Has direct oversight of the VPs of Marketing, House Management, and Box Office
- Responsible for the overall appearance of the Lobby, Auditorium, Concessions, Box Office, Gallery, and Public Restrooms. Reports any maintenance issues to the Executive VP of Administration
- Responsible for the consistent branding across all marketing and ensuring compliance with royalty requirements, grant (DDOA) requirements, and use of the CSP logo per CSP Policies and Procedures
- In cooperation with the Executive VP of Programs, coordinates all lobby displays or special themes, including the headshot board, lobby monitors, show programs, and posters
- Develops partnerships with area restaurants and businesses to create special opportunities for patrons (e.g. dinner & a show) based on the season, specific show, or tied to themes and holidays
- Works with reporting VPs to contribute to CSP achieving its long-term goals as they relate to serving the community (internal and external) of the organization
Executive Vice President of Programs
- Has direct oversight of the VPs of Artistic Production, Technical Production, and Education & Special Programs
- Responsible for scheduling the use of all areas of the CSP facility
- Responsible for scheduling Board Members on Duty for all plays and CSP sponsored events.
- Responsible for the overall appearance of the Stage, Shop, Light and Sound Booths, Dressing Room, Green Room, Stage Manager’s room and production storage areas. Reports any maintenance issues to the Executive VP of Administration
- In cooperation with the Executive VP of Community Relations, looks for opportunities where a program’s theme, story, etc., may create unique partnerships with the community
- Works with reporting VPs to contribute to CSP achieving its long-term goals as they relate to the programming of the organization
* Executive Committee:
The four executive officers form the Executive Committee and as a team have the following responsibilities:
- Create the annual calendar to set meeting dates and times, production (show) dates and times, and other CSP annual event dates and/or deadlines
- Create the annual Board meeting outline and monthly Board meeting agenda
- Make emergency decisions (with input from reporting VPs when possible) regarding contracts, legal matters, suspending operations or productions due to weather, National Emergencies, etc.
- The Executive Committee, by simple majority Board vote, is empowered to make other decisions when time is a factor that does not allow for an entire Board review and decision for CSP business
Vice Presidents
Vice President of Finance
- Responsible for the financial management of CSP
- Provides a current financial report at each Board meeting
- Prepares and files required IRS forms as required by law
- Is a member of the annual Budget Committee
- Has oversight of financial development of CSP including annual grant applications
Vice President of Records
- Takes, distributes, and keeps all minutes of Board meetings
- Retrieves and disseminates mail from US Postal Service
- Retrieves and disseminates e-mail messages from the general e-mail account
- Responsible for all correspondence from the Board as a whole
- Maintains history files including the Policies and Procedure Manual
Vice President of Volunteers
- Responsible for oversight of the CSP Code of Conduct
- Responsible for recruiting volunteers for all areas of theater and for maintaining a volunteer database
- Solicits board members, directors, and volunteers for annual awards recipients and updates plaques
- Responsible for the annual Volunteer Meeting and coordinating other such social/volunteer activities
- Provides refreshments for Strike-Builds and maintains sign-in sheet for participants
Vice President-At-Large for Administration
- Assists the Executive VP with special projects or assignments specific to Administration
- Responsible for assisting with tasks in each of the three VP areas as needed
- In cooperation with the VP of Volunteers, seeks out opportunities for volunteers to serve as chairs or committee members in the area of Administration
- Must chair at least one task in the area during each fiscal year of term
Vice President of Marketing
- Initiates and coordinates publicity/marketing for all CSP activities, including Main Stage plays, Cope Festival, Renee’ G. O’Leary FUNdraiser, and all other programs
- Presents an annual marketing plan for all shows and events produced by CSP
- Maintains CSP Website and social media, including arranging photos for all shows and events produced by CSP
- Maintains CSP press/marketing list and patron mailing list and sends promotional materials to each
- Creates (with final approval by the Board), publishes, and markets the annual Season Ticket Package Brochure
Vice President of House Management
- Responsible for obtaining and maintaining refreshments for chosen plays and events
- Responsible for obtaining and maintaining any liquor licenses approved by the Board
- Responsible for the cleaning of any CSP facility
- Responsible for training and scheduling of ushers and concessions staff for all CSP-produced events
- Arranges for local artists to display artwork in the Gallery
Vice President of Box Office
- Has responsibility for all box office operation, including but not limited to obtaining tickets, managing reservations, group sales, seating arrangements and procedures
- Responsible for completing an account of each performance to include number and type of ticket sold, as well as gross receipts
- Maintains the database and communication with annual season package ticket holders
- Is responsible for training staff and staffing the Box Office for all CSP produced events
- Responsible for maintaining the Hearing Assistive devices for patrons housed in the Box Office
Vice President-At-Large for Community Relations
- Assists the Executive VP with special projects or assignments specific to Community Relations.
- Responsible for assisting with tasks in each of the three VP areas as needed.
- In cooperation with the VP of Volunteers, seeks out opportunities for volunteers to serve as chairs or committee members for the area of Community Relations.
- Must chair at least one task in the area during each fiscal year of term
Vice President of Artistic Production
- Appoints annual Play Selection Committee and its Chair, which is responsible for establishing an annual season of plays and/or events for Board approval
- Secures rights to plays
- Serves as the Board’s liaison to the director of each production and is responsible for educating directors and stage managers on CSP procedures and policies
- Has oversight of CSP audition process
- Responsible for the general upkeep of Dressing Rooms, Green Room, and Stage Manager inventory.
- Oversite (with VP of Technical Production) of any CSP strike/builds
Vice President of Technical Production
- Oversight of costumes and props inventory and storage
- Responsible for maintaining and improving the CSP inventory of stage light and sound equipment, monitoring systems, Hearing Assistive system, construction (set) materials, tools and paint
- Trains design/crew members on how to safely and appropriately use all equipment related to production and set construction
- Arranges for any special effects needs for a show, including seeking any necessary approval in accordance with City, State, and Federal law
- Responsible for the organization, cleanliness, safety, and general maintenance of the technical sound and light booths, shop, and costume, prop, and set storage areas
- Oversight (with VP of Artistic Production) of any CSP strike/builds
Vice President for Education and Special Programs
- Encourages educational programs with other Board members on the various aspects of theater arts and working at the theater for adult volunteers
- Develops and has administrative oversight for educational programs geared to students K-12, including summer camps
- Ensures compliance with local, state, and Federal laws regarding hosting and educating students K-12, whether on or off premises
- Reviews and prepares for Board approval any new program or event outside of the Main Stage Plays and annual June fundraiser to be produced by Chapel Street Players. Such special programs should serve the mission of the organization
- Is the point of contact for the director, manager, or person(s) in charge of such special programs
Vice President-At-Large of Programs
- Assists the Executive VP with special projects or assignments specific to Programs
- Responsible for assisting with tasks in each of the three VP areas as needed
- In cooperation with the VP of Volunteers, seeks out opportunities for volunteers to serve as chairs or committee members in the area of Programs
All Executive Officers and Vice Presidents may appoint Chairpersons and/or committees or other individuals to aid in the execution of their tasks; however, the responsibility of the task ultimately belongs to the Executive Officer and Vice President to which it is assigned. Additional tasks are detailed in the CSP Policies and Procedures Manual.
